Hints for the Week 4 Individual Assignment

  1. Take a look at the “Total Operating Expenses” for Riordan for 2015. Write down the number and save it.
  2. Multiply the number from step 1 by 0.98. Write down this number and save it. This is your new total IT budget number for 2015.

  3. In column O of the spreadsheet, which is currently blank, create a title that says “New Total”.
  4. In column P of the spreadsheet, which is currently blank, create a title that says “Difference”.
  5. Take a look at each of the individual expenses. Which expenses (rows in the spreadsheet) do you think are related to Hardware, Software, or Outside IT services? Make a list of them for your document. It would also be helpful to highlight those rows in the spreadsheet using a fill color such as one of the green shades.
  6. In the spreadsheet column O in each of the highlighted rows, create a formula that multiplies the amount in column N for that row by 1.04. For example, if you think that row 16 “Hardware” is related to Hardware, Software and Outside IT services, then you need to put a formula in row O16 that looks like the following “= N16*1.04”
  7. Once you have identified, highlighted, and increased the expenses that pertain to Hardware, software, and Outside IT services, add up the totals of the rows that you increased. Subtract that total from the number you created in step 2. The difference is what you have to spend on the remaining IT expenses.
  8. Now you need to distribute the rest of the IT budget dollars to the rest of the rows in the spreadsheet. Make note of which items you decrease and highlight them with a fill color such as yellow, orange, pink, or red. In your word document, be sure to write down a reason for why you are decreasing each particular expense. Whatever reasons you choose are fine. Perhaps the price of gasoline has decreased so travel expenses will be lower, for example.
  9. It’s perfectly ok to decrease salaries or bonuses if you want to do so. But be sure you have a good reason for doing this.
  10. In spreadsheet column P, create a formula that looks like the following ” = O16 – N16″ and copy it down so that you can see all of your changes, as well as which expenses are unchanged.
